Case Study – Hunton & Williams llp 2003 - 2004 For this top tier law firm of over 800 attorneys, Cunningham & Montaña assisted with the development and deployment of multiple aspects of an enhanced records management program. Among the deliverables for this engagement were: Client Files Records Retention Schedules – C&M facilitated the development of a series of practice-specific schedules based on ethics opinions, case law and best practices. The client file schedules were developed with the input and review of all Managing Partners and Practice Group Heads. The schedules have been approved by the Executive Committee and are now being implemented against both hardcopy and electronic records collections. Administrative Records Retention Schedule – C&M likewise facilitated the development of an enterprise retention schedule for all administrative records based on regulatory and statutory requirements as well as case law and best practices. Records Management Policy – C&M drafted and presented an enabling enterprise RM policy statement for consideration and development. This policy was adapted, adopted and issued to all firm personnel. Staffing and Organization – C&M advised on the RM departmental charter, reporting relationships and job descriptions. Technology Acquisition – C&M drafted a Request for Information for issuance to pre-qualified RM software vendors and reviewed responses from those vendors and provided recommendations and commentary to the firm. Records Storage – C&M provided guidance for moving to a single contract for all commercial records storage operations. This included new contract language, pricing recommendations and support during contract negotiations.
